Perhaps one of the biggest problems with any safety inspection is the time taken to collect data on site. If staff are expected to fill in lengthy forms each time an inspection is carried out then there can be no surprise that quality control is difficult and mistakes are commonplace. In addition to the time taken to record the inspection on site there are also problems in collating and reviewing the data. If there is file after file filled to bursting with record sheets then it is unlikely that they can be collated and reviewed to get anything meaningful from the routine inspection process.
Even if you implement a database for recording the information gathered on site you are still faced with the problem of getting the information into the system.
Fortunately a solution has come in the form of low cost hand held devices such as PDAs. We have used these to good effect with our asbestos management and legionella control systems and they can be used to help you deal with smaller problems effectively. And the cost can be a pleasant surprise.
A well designed data collection system will:
· Reduce time spent on site
· Increase productivity
· Virtually eliminate errors and omissions
· Reduce double handling of data to zero
A data collection system can also bring benefits other than those of cost reduction and improving reliability. Data collection systems also give managers the assurance that inspections have been completed correctly and according to the schedule. If you want an illustration of how effective your existing approach is ask yourself this question, “How do I prove the inspection was carried out?”.
